7 Key Criteria When Selecting Class Management Software

Selecting the right Class Management software is a strategic decision for any coaching class that will have a huge impact on its future performance. However, what are the key elements to look at when selecting new Software?

1. Meet present and future requirements: At home, we spend most of the time sitting or lying down but when we build a house, we don't put the ceiling at 4 feet height!!! Any system we built should have enough headroom for growth. It should be able to meet your current as well as future requirements. If you hire more staff, open more branches or appoint franchisees, the software should have adequate controls for managing them with role based security.

2. Flexibility and scalability: ERP implementations are usually phased and it is recommended to focus on must have requirements in the initial phase, leaving more advanced or complex needs for later phases. Your software should have modular structure, where you can implement the core modules in the initial phase and add-on more modules and features as-and-when required.

3. Ease of use:  Usability is a very important criterion that needs to be taken into account. In the end, the easier the system is to use, the greater return it will provide. Users should be able to access all student related information from a single place so they are more productive and self-sufficient when using the system. This will even have an impact on customer service quality.

4. Innovative technology: As ERP systems have a long lifespan, it is important that their technology is innovative enough, not to become obsolete too early. Technology evolves very quickly and what can be enough today, might be a bottleneck in the future. Currently, cloud-ready solutions that can be accessed from anywhere and any device are a must. Ensure that the system you use is built on latest technology such Java and .NET framework with MS SQL database will ensure long life.

5. Competitive pricing and flexible schemes:  Class Management software price can be for a lifetime license plus a yearly support price OR it can be per month price. You should have both options available. It is advisable to go for per month price initially (also known as SAAS i.e. Software as a Service modal) and switch over to life-time-license once you are comfortable with the system.

6. Large installation base: It is important to ensure that the software is being used by many other institutes. This way you can be sure that software will be updated and maintained on regular basis. Software is prone to bugs during initial years, so it is important to know how long the software has been in use.

7. Implementer and support: It’s important to choose the right software but what is more important is to choose the right vendor. Make sure that your team and your implementer is experienced in both business and technology areas and can provide the support when needed. A lone programmer may change his occupation but a limited company will be able to service the software irrespective of the programmers being available or not.

SAAS- Software As A Service
WebEdify is available in SAAS model as well as a one-time purchase with Life-time license. Edify is the on-premise version of the same software, which is available with Life-time license. This article explains the benefits of SAAS model.

Some people feel that if software is available cheap, it could be incomplete or inadequate. Contrary to this belief, Software-As-A-Service (SAAS) based models are highly functional and affordable. It is the best model for acquiring, using and paying for business functionality. Its best-known characteristics are its relative speed to implementation and low upfront costs for acquisition and deployment. As a result, SAAS is widely adopted for a variety of business and IT functions. Less well-known are the business advantages of SAAS for ERP/enterprise business applications, especially those advantages specific to smaller organizations. Enterprise level SAAS can deliver tremendous value to small and mid-sized businesses. The SAAS model is not only cost effective for the users but a surety of service as well, because the client has option to walk out any time if the service is not 100% satisfactory.
Time to Value – SAAS is quickly installed and more quickly made part of the work process when compared with on-premise software. Typically, once licensed, a SAAS purchaser is up and running in a matter of days or weeks, rather than months, as is more frequently the case with traditional vendor software. As a consequence, the SAAS purchaser can begin to realize the business benefits earlier. The payback period is much quicker, and the ROI is significantly better than with vendor software.

Affordability – SAAS does not require large up-front investment, and especially in a recession presents less of a financial hurdle when compared with on-premise software. Businesses with limited capital budgets and limited IT support will find SAAS is far more suitable to their needs than vendor software.

Upgrades – Instead of twice yearly upgrades, SAAS solutions can be enhanced on a regular and almost continuous basis. Major releases may also appear annually, consolidating all of the enhancements along the way. One of the key enabling SAAS technologies, multi-tenancy, makes possible this continuous stream of enhancements. SAAS users do not have to wonder whether a new release or upgrade will break their system or cause a significant delay in parallel testing prior to switching over into full production. The SAAS provider assumes this responsibility behind the scenes and without intrusiveness.

Customization – It has become increasingly easy to adapt SAAS solutions to fit the needs of small and mid-sized enterprises. Some SAAS solutions exploit multi-tenancy to enable customization by programmers or system integrators. Other SAAS solutions target end users with easy-to-use configuration capabilities that allow non-programmers to easily modify their look-and-feel or their business processes. For many businesses, configuration may be a more appropriate approach, due to its simplicity and lower cost (no programmer required).

Integration –Web services and APIs address the needs of SAAS customers with website and on-premise applications that had to integrate with the SAAS provider’s solution. Today Service Oriented Architectures (SOA) and web services APIs are hallmarks of leading SAAS providers, making integration with on-premise software and home-grown systems considerably easier.

Fewer Technical Resources – Possibly one of the least-anticipated SAAS benefits is that it requires significantly fewer technical resources to manage than on-premise software, reducing the strain on IT organizations. For the small or mid-sized enterprise, this is an enormous advantage. At the same
time, by utilizing the expertise of the SAAS provider, which has state-of-the-art data centers and technology at its disposal, even the smallest firm can take advantage of the latest in leading-edge technologies, including messaging and collaboration capabilities that might otherwise be beyond its reach. In this way, the firm can obtain access to next-generation technology without having to manage it.

Focus – Without the distraction of managing the IT function – hardware, software, networks and technicians – the company will be freed up to focus on its core competencies, its core value-add. SAAS is a way of outsourcing the onerous aspects of the essential IT systems the small or mid-sized company needs to run its business and manage the challenges of growth, regulation and competition.

Advantages and disadvantages of biometric attendance system!

The reality of the matter is that the development in technology is a two-edged sword and each new innovation or technical advancement has its own particular upsides and downsides. At the point when fingerprint attendance system came, individuals were pondering about its proficiency, effectiveness and usefulness. Registers were soon replaced by biometric attendance management systems, students, faculty and staff were affected because now they can’t register the wrong time of coming to and leaving the office. The innovation had given an answer for Proxy Attendance. Software was made to save time. This is useful yet many students and employees still don’t like it. At that point Biometric Time Attendance Systems came into picture with a case to address the vast majority of the intermediary related issues in card based participation system, yet, it has its own advantages and disadvantages. Its sure purpose of approving a man by confirming his exceptional biometric characteristics like unique finger print, face recognition or retina is likewise a reason of some of its negative focuses. Some pros and cons of this system are.

Pros and positive points:

To begin with and the best point for a biometric framework is its capacity to perceive and check special properties of a man. Whatever qualities are picked, to be checked through a biometric scanner are novel to a specific person and subsequently it’s the most perfect and favored method for approving individuals in a strict security environment. It is practically difficult to recreate these traits and thus the possibility of somebody taking the person’s name and secret word is discounted for this situation making the framework more dependable than registers based attendance system. This is useful for managers as now they don’t need to track everything on their own. There no requirement for students, faculty and staff to convey their cards or to recall their passwords as while utilizing a biometric framework they are really conveying all their novel characteristics.

Cons and the negative points associated with usage:

A Biometric System may not be practical for very large institutes with several thousand students. Such institutes need to either use multiple machines or opt for RFID cards/bar code readers. Also some students may have difficulty in their finger prints being recognized if they have very tender skin on if their fingers are quoted with oil or any similar substance. Although there is saving money on repeating costs of new cards for new representatives in a biometric participation framework, yet it includes a monotonous procedure of enlistment of layouts of new students, faculty and staff on the biometric machines and it can be tiring.

Conclusion

The advantages of automated attendance outweigh the problems associated with it, especially if you consider the cost of effort and time spent on it by the staff and faculty.  Innovations such as AutoSms, which automatically send SMS alerts to parents when a student reaches or leaves the institute, generate a lot of confidence among parents. Institutes with a very large number of students can opt for a Hybrid system using a Biometric + RFID reader, where students mark their attendance using RFID cards and Faculty/Staff mark their attendance using finger print or face recognition system. This also brings in a lot of discipline by regulating lecture timing and saving in terms of staff/faculty payouts.
